Cancellation Policy

At VogueRide, we know plans can change. This policy explains how cancellations, changes, and refunds work for reservations booked with us.

1) Standard Cancellation Windows

Unless your confirmation states otherwise, the following notice periods apply to cancel without fee:

  • Sedans / SUVs (point‑to‑point or hourly): ≥ 48 hours before scheduled pickup time.
  • Sprinters / Vans / Mini‑buses: ≥ 72 hours before scheduled pickup time.
  • Coaches / Specialty or Armored Vehicles / Multi‑day events: ≥ 7 days before the service start time.

2) Fees for Late Cancellations

If you cancel inside the applicable free‑cancellation window above, fees may apply:

  • Inside window but ≥ 24 hours before pickup: 50% of the quoted total.
  • Less than 24 hours before pickup: 100% of the quoted total (full charge).
  • Driver en‑route, on‑site, or passenger no‑show: 100% plus incurred extras (see §7 and §9).

Refund processing: If you prepaid, we’ll refund less any applicable fees. Refunds are issued within 10 business days from the cancellation date.

Payment method processing fee: Refunds to PayPal or credit card are subject to a 4% deduction to cover non‑recoverable processing costs.

3) Changing Your Reservation (Time, Route, Vehicle)

We try to accommodate changes:

  • Time/route changes are subject to availability and may adjust pricing.
  • Same‑day changes (within 24 hours) are treated as new requests and may not be available.
  • If a requested change cannot be accommodated and you elect to cancel, the cancellation fees in §2 apply based on the time of your request.

4) Airport Pickups & Flight Monitoring

We try to accommodate changes:

  • Time/route changes are subject to availability and may adjust pricing.
  • Same‑day changes (within 24 hours) are treated as new requests and may not be available.
  • If a requested change cannot be accommodated and you elect to cancel, the cancellation fees in §2 apply based on the time of your request.

5) Grace Period & Hourly Bookings

  • Point‑to‑point: 15‑minute grace period from the scheduled pickup time before wait time begins.
  • Hourly/charter: Billed from the scheduled start time until vehicle release at the final drop‑off; overtime beyond the contracted hours is billed in 30‑minute increments at the prevailing rate.

6) Inclement Weather & Safety

For extreme weather or unsafe conditions, we may modify or cancel service at our discretion. If we cancel for safety, you will receive a full refund for any prepaid amounts, or we will reschedule at no additional charge where feasible.

7) No‑Show Policy

A reservation is a no‑show when the passenger fails to appear at the designated pickup location without contacting us within the included wait/grace period. No‑shows are billed at 100% of the total plus any incurred extras (e.g., tolls, parking, wait time).

8) Peak Dates, Events & Blackout Periods

Certain peak periods (e.g., major holidays, UN General Assembly week, New Year’s Eve, citywide events) may carry extended cancellation windowsnon‑refundable deposits, or special terms disclosed in your confirmation. Those special terms supersede this policy for the affected booking.

9) Tolls, Parking, Extras & Damage

  • Tolls, parking, airport fees, and surcharges are billed as incurred and are not refundable once incurred.
  • Cleaning/damage: Excessive cleaning or damage caused by a passenger is billable at cost plus reasonable administrative fees.

10) Group, Wedding & Event Contracts

For group movements, weddings, proms, and multi‑vehicle charters, deposit terms and final balance due dates are set out in the event agreement. Deposits may be non‑refundable after a stated date. The event agreement controls in case of any conflict with this policy.

11) How to Cancel or Modify

Please use the manage‑booking link in your confirmation email, or contact us:

Your request is effective when received by VogueRide during operating hours. We will confirm changes or cancellations by email.


12) Refund Timing & Method

Approved refunds are returned to the original payment method within 10 business days. Bank posting times may vary. Processing fees (see §2) and non‑recoverable third‑party charges (see §9) are deducted where applicable.

13) Contract Prevails

If your booking agreement or event contract specifies different cancellation or change terms, those specific terms prevail for that reservation.
